New printer setup

Prepare it, connect it, and send one test page.

  1. Remove all tape and packing material, including inside the covers and around the ink or toner area.
  2. Connect the power cable, turn the printer on and choose your language and country if the display asks.
  3. Install the ink cartridges or toner, load plain paper, and let the printer finish any start-up or alignment routine.
  4. Decide how it will connect: to your Wi-Fi network, or directly to one computer with a USB cable.
  5. Add the printer on your computer or phone – see where to add a printer below.
  6. Print a test page to confirm everything works.

Connect to Wi-Fi

Join the same local network as your device.

  1. Have your Wi-Fi network name and password ready. Many home printers use the 2.4 GHz band; check your manual for 5 GHz support.
  2. On the printer’s control panel, open the wireless or network settings and run the Wireless Setup Wizard. Use WPS only if your router supports it.
  3. Choose your network and type the password exactly – it is case-sensitive.
  4. Confirm the connection: a steady wireless light, or a network configuration report that shows an IP address.
  5. Make sure your computer or phone is on the same network – not a guest network, and not connected through a VPN.
  6. Add the printer on your device, then print a test page.

Printer not found

Check discovery, network, and cable basics.

  1. Check that the printer is on, awake, and not showing an error on its display.
  2. For Wi-Fi, print a network configuration report and confirm the printer is connected. Note the network name and IP address.
  3. Check that your device is on that same network, with any VPN turned off.
  4. Restart the router, then the printer, then your computer or phone, waiting for each to finish starting.
  5. For USB, try another cable and another port, and connect directly rather than through a hub.
  6. If automatic search still fails, add the printer manually using the IP address from the report.

Printer offline

Review power, queue, and current connection.

  1. Look at the printer’s display for a paper jam, open cover, or empty ink or toner, and clear it.
  2. Open the print queue on your computer and cancel any stuck jobs.
  3. Check that you are printing to the right printer. Duplicates such as “Copy 1” can point to an old connection.
  4. On Windows, open the print queue and make sure “Use Printer Offline” is not ticked.
  5. Print a network report to check whether the printer’s IP address changed. If it did, remove the printer from your device and add it again.
  6. Restart the printer and your device, then send a one-page test.

Find software safely

Locate a download for your exact model.

  1. Find the exact model number on the label or display – similar names can need different software.
  2. Check whether your system already supports it. Windows, macOS (AirPrint) and Android (Mopria) include drivers for many printers.
  3. If you need software, go to the manufacturer’s official support site from our official resources page and search your model.
  4. Pick the download that matches your operating system and version.
  5. Avoid “driver download” sites, pop-ups and ads that ask for payment or remote access to your computer.
  6. Install, restart if asked, and print a test page.

Connect by USB

Use a data cable and let your system detect it.

  1. Use a USB data cable – most printers use a USB-A to USB-B cable. Charging-only cables will not work.
  2. Some installers ask you to plug in the cable only when prompted, so follow your model’s instructions.
  3. Connect the printer directly to the computer rather than through an unpowered hub.
  4. Windows usually adds a USB printer automatically. On a Mac, add it from Printers & Scanners.
  5. If it is not detected, try another port and another cable.
  6. Print a test page to confirm.

Where to add a printer

Steps for your computer or phone.

Menu names can change slightly between system versions. If yours looks different, search your device’s settings for “printer”.

Windows 11

  1. Open Settings → Bluetooth & devices → Printers & scanners.
  2. Select Add device and wait for your printer to appear, then select Add device next to it.
  3. If it does not appear, select Add manually and add it by IP address.
  4. To test, select the printer and choose Print test page.

Mac

  1. Open Apple menu → System Settings → Printers & Scanners.
  2. Click Add Printer, Scanner or Fax and choose your printer from the list.
  3. For a network printer that is not listed, use the IP tab and enter its address.
  4. AirPrint printers usually work without extra software.

iPhone or iPad

  1. iPhone and iPad print with AirPrint. Check that your printer supports it.
  2. Connect your iPhone or iPad to the same Wi-Fi network as the printer.
  3. In the app, tap Share or the … menu, then Print.
  4. Tap Printer, choose yours, and tap Print.

Android phone

  1. Open Settings and search for Printing. The menu names vary between phone makers.
  2. Turn on the Default Print Service, or install the Mopria or manufacturer print plugin from Google Play.
  3. Connect the phone to the same Wi-Fi network as the printer.
  4. In the app, open the menu, choose Print, and select your printer.
